Copilot for Outlook prompt generator
Create prompts to prioritize your inbox, summarize threads and draft emails with the recipient, relationship, tone and commitments under control. The result is always a draft for you to review. Only step 1 is required.
Get started: how to use the Copilot Outlook prompt generator
Here is how to generate a prompt for the Outlook app. Only the first step is required: anything you skip stays on Auto.
- Start with the essentials. Pick an example (Inbox, Thread summary, Delay, Complaint, Follow-up or Meeting) or describe the email: who, what happened and what is agreed. Then choose what you need in Outlook and, if you are missing context, switch on “Have Copilot ask me questions before drafting”.
- Choose the recipient and goal. Who you are writing to, your relationship with them and what you want to achieve. In the advanced settings you say what Copilot can read: the open thread, several emails in your inbox, pasted text, an attached document or CRM notes.
- Set tone and format. Tone, length and structure, including a reusable template with variable fields. In the advanced settings you choose where you will use the prompt and whether you want a reminder or a follow-up sequence.
- Control the commitments. Decide what the email may promise: nothing new, only what is approved, dates and prices pending, or owning a confirmed error. The advanced settings hold the extra checks, the email language and any limits Copilot must respect.
- Generate and copy your prompt. Click “Generate prompt”, enter your email to see the whole prompt and copy it.
The “What do you need in Outlook?” field covers eleven jobs: prioritize the inbox, summarize a thread, reply to an email, deliver a delay or bad news, answer a complaint, first sales email, sales follow-up, internal announcement, set up a meeting, payment reminder and internal escalation.
Example: replying to a customer about a delay without promising a date
With the generator’s “Delay” example, the prompt starts like this. It’s an excerpt: the button copies the full prompt.
ROLE Act as a senior specialist in professional email communication and in Microsoft 365 Copilot for Outlook: sensitive emails, inbox management and tracking commitments. You work from evidence: everything you state comes from the thread, the material provided or the context, and anything missing is marked [to be confirmed]. You deliver bad news without beating around the bush: the fact first, then the impact and the plan, with no excuses or blame. GOAL Draft an email that delivers the bad news early and clearly, protects the relationship and commits to no dates or terms that are not confirmed. CONTEXT Context provided by the user (treat it as your main source): [START OF BRIEF] I need to tell Lumen Group that the delivery of the 300 phase 2 terminals is late because our screen supplier has delayed its shipment. Logistics has not confirmed the new date yet. We can bring forward 60 units this week. They have been a client for years and I do not want to lose their trust. [END OF BRIEF] ... OUTPUT FORMAT Deliver: a clear Subject (no euphemisms) and a Body in this order: news, short cause, impact, what we are doing, what we need, next update. Between 120 and 200 words. ...
The full prompt adds how to write to a client you already have a good relationship with, the constraints (no invented dates or amounts, nothing sent, no admission of liability), six working steps and a final check before answering.
The result: Copilot states the news in the first two lines, offers what is confirmed (the 60 units this week) and leaves the new date as [to be confirmed] instead of inventing one.
Best practices: search, schedule and refine with Copilot in Outlook
6 quick tips
- Open the thread first: Copilot in Outlook can summarize an email thread and write based on that conversation, so choose “The open thread” in “What can Copilot read?”. It works in the desktop app and in Outlook on the web.
- For a new message, use Draft with Copilot, paste the instruction and edit the result before you send it. Coaching by Copilot can then highlight tone and clarity issues.
- Set the relationship with the recipient: you don’t write to a customer with a complaint the way you write to your manager or a supplier.
- If figures or deadlines are involved, choose “Dates and prices pending” in “Commitments, figures and dates”, to ensure nothing is promised by accident.
- To schedule a meeting from a thread, pick “Set up a meeting”: the prompt asks for two or three slots with time zones and notes that Schedule with Copilot can suggest times. If you have a Teams recap or transcript you are authorized to use, paste the relevant part as context.
- Refine one setting at a time, such as tone or length, so you know what improved the result. Keep it concise: three to five lines is often enough.
Use cases: templates, action items and Power Automate
- Inbox management Prioritize what needs you today and turn long threads into actionable insight and a to-do list.
- Sales First sales contact and follow-up sequences of two or three messages.
- Customer service Deliver a delay or answer a complaint in an empathetic or firm but respectful tone, to align expectations and improve our services, as many teams put it.
- Internal communication Announcements, escalations and action items you can move to Planner.
- Finance Payment reminders matched to each stage of the overdue payment, with no fees or threats that are not approved, plus setting reminders for the next step.
- Templates and automation Reusable templates with variable fields, and a follow-up request that proposes Outlook rules or folders for you to create, or a workflow you later automate in Power Automate with human approval.
Prompt engineering for Outlook: what makes effective prompts
A good instruction gives the assistant what you’d give a colleague answering on your behalf: a role, a specific job, the context of the thread, the material it can use (the open message, CRM notes or an authorized attachment), the constraints (what it can’t promise) and the format. Outlook adds two more pieces: the relationship with the recipient and the next step you expect. When both are clear, Copilot’s output needs fewer edits.
That’s the core of the Microsoft Learn guidance and of most advice from Microsoft MVP bloggers and GitHub prompt collections: say what you want, give context, name the source and add a polite “please” only if it helps you phrase the request. It helps users in a fast-paced day-to-day to streamline daily tasks, and the same structure works when you integrate Excel, Word or PowerPoint material, or move to Copilot Studio to build an agent.
Features vary with your license, organizational settings and cloud tenant, so check the latest features and security updates with your IT or technical support team. If you only have the free Copilot app, some options, such as reading your mailbox, won’t be available.

Why I built these generators
Frequently asked questions
Is the Copilot Outlook prompt generator free?
Yes, it’s free. Before it asks for anything, it shows you a preview with the first sections of the prompt. To see the whole prompt and copy it, enter your email and accept the Privacy Policy; receiving communications from Founderz is optional.
It only asks once per visit: any prompts you generate after that are shown in full.
Will it send messages for me?
No. The prompt forbids Copilot to send, reply, forward, archive or create rules without your confirmation, and the result is always a draft with a subject and body that you review before sending. Copilot in Outlook never sends anything on its own either.
Does it work in Copilot Chat or only inside Outlook?
Both. In “Where will you use the prompt?”, in the advanced settings of “Tone and format”, you can choose Copilot in Outlook, Microsoft 365 Copilot Chat or ChatGPT, Claude or Gemini. In Copilot Chat, type / to reference the email, meeting or file; what it can read depends on your license, your permissions and your organization’s settings.
Can I create Outlook rules?
The generator does not create rules: the prompt forbids Copilot to create rules or move emails without your confirmation. If you choose “Prioritize the inbox”, one of the follow-up requests asks it to propose rules or folders for you to create yourself.
How do I get the right tone for a difficult message?
Set the relationship in “Relationship with the recipient” and pick a tone in “Tone”, such as “Empathetic” or “Firm but respectful”. If the thread already has a style, “Match the thread” follows it, and “Own a confirmed error”, in “Commitments, figures and dates”, helps when the mistake was yours.
