AI prompt generator for exporters

Describe your product, the country and the operation and get a prompt to prepare an export checklist, an email to an international customer, a market entry study or the reply to a shipment incident, without inventing tariffs, requirements or terms.

How to use the AI prompt generator for exporters

To create your prompt, follow these steps. Only the first one is required: anything you skip stays on Auto.

  1. Give the essentials. Describe your product, the country and the operation with no confidential prices or customer data, then choose what you need to prepare (or leave Auto and it infers it from your text). You can load an example: checklist, international email, market entry, distributor, Incoterms or shipment incident.
  2. Describe your operation. The product type (consumer, industrial, food or cosmetics, technology, services, ecommerce or B2B project) and the stage of the operation, from prospecting to repeat customer. In the advanced settings you set the material you will attach and the channel.
  3. Choose recipient and format. Who it is for (international customer, distributor, export team, management, logistics or legal), the register and the format: document, tables, checklist, email or slides. In the advanced settings you choose the level of detail.
  4. Set risk, data and review. The risk level (with “Customs, sanctions or regulated product” the AI only organizes facts and questions for compliance) and the confidentiality of the data. In the advanced settings you decide who reviews it, add extra controls such as the Incoterms table or sanctions screening and choose the answer language.
  5. Generate and copy your prompt. Click “Generate prompt”, enter your email to see the whole prompt and copy it.

Eleven tasks. The “What do you need to prepare?” selector offers export checklist, international business email, market entry research, distributor or partner brief, Incoterms explanation, incident communication, requirements matrix, trade fair or business mission plan, international product sheet, cross-cultural meeting script and management report.

Each task comes with its own output format and three follow-up requests. Every prompt asks the AI to mark as [to be confirmed] any tariff, requirement, deadline or Incoterm that is not in your context: the tool prepares a draft and does not replace customs, legal or compliance.

Example: replying to an overseas distributor without committing to unapproved terms

With the generator’s “International email” example, the prompt starts like this. It’s an excerpt: the button copies the full prompt.

ROLE
Act as a senior export and international trade manager with experience in market development, export documentation, international logistics and distributor relations. You know the ICC Incoterms 2020 rules, tariff classification under the Harmonized System, rules of origin, the documents of a typical export and sanctions lists. You prepare working drafts: you do not give definitive legal, customs or tax advice, and you never fill gaps with invented data. You write clear international business emails for non-native readers that move the relationship forward without committing to terms that have not been approved.

GOAL
Write the international business email that answers what the customer raises, moves the conversation forward and leaves every unapproved term as pending confirmation.

CONTEXT
Context provided by the user (treat it as your main source):
[START OF BRIEF]
Extra virgin olive oil producer. A distributor in Canada saw our website and is asking for the catalog, our general terms of sale and whether we can ship a trial pallet. We do not have a closed price for Canada yet and we do not know the labeling requirements. I need a professional reply that moves things forward without committing to anything that is not confirmed.
[END OF BRIEF]

...

OUTPUT FORMAT
Deliver: a subject line (60 characters maximum), an email under 200 words with greeting, reply, terms, next step and signature [name to be confirmed]; a separate internal note with the terms to validate and with whom.

...

The full prompt adds the constraints (no invented tariffs or requirements, every Incoterm cited with its version and place), the working steps, the checks before delivery and a closing section with the open data and who must validate it.

The result: the AI answers what the distributor asked first, leaves every unapproved term as [to be confirmed] and adds a separate internal note with what to validate before sending.

Tips for better ChatGPT prompts at an exporting company

5 quick tips

  • Always state the Incoterms version. The rules in force are the Incoterms 2020 from the International Chamber of Commerce, with 11 terms such as EXW, FCA, CIF and DAP. The generator treats them as “to validate” and doesn’t advise which one to choose.
  • Don’t ask the AI for a country’s tariffs or requirements: the first control forbids it. Look them up in an official source, such as the European Commission’s Access2Markets portal for conditions to sell a product, including rules of origin, and attach that source by choosing “Public market data” under “Material you will attach”.
  • To translate a product sheet, choose the “International product sheet” task and the target language under “Answer language” (for example, Français or Spanish (Mexico)). The prompt asks the AI to mark every certification claim as to be validated at destination.
  • Select “No sensitive prices” under “Data and confidentiality” when you work in a tool your company hasn’t approved for commercial information: the prompt uses placeholders such as [Price] instead of real figures.
  • Pick “Customs, sanctions or regulated product” under “Risk level” for sensitive products or destinations: the AI concludes nothing and limits itself to organizing facts and questions for compliance and the customs agent.

Use cases for exporters and international trade teams

  • Prospecting: an international business email or a partner brief for a new distributor.
  • Translation and localization: an international product spec sheet in the market’s language, with confirmed attributes and certifications to verify.
  • Documentation: an export checklist with document, owner, source, date and validation point.
  • Market entry: initial research or a requirements matrix that separates source, hypothesis and requirement to verify.
  • Logistics: an international incident communication for the customer or the carrier, with confirmed facts only.
  • Trade fairs and meetings: a trade fair or business mission plan, or an intercultural meeting script.

Prompt engineering for exporters: what makes effective prompts

Prompt engineering is the craft of writing text prompts that get reliable AI output. You don’t need to be skilled in prompt engineering to use this tool, because a good export prompt gives the model six pieces: a role (a specialist in export operations and international trade), a specific task, the product and market context, the material it can use, the constraints and the output format. In international trade the constraints prevent costly mistakes: invented tariffs, a misexplained Incoterm or a delivery date nobody approved.

Leave a piece out and the assistant fills the gap with plausible data. The generator asks for each piece in order and adds those controls by default, which is what improves prompt effectiveness more than any clever wording. It’s prompt creation by structure, not prompt crafting by trial and error, and it works the same way with any generative AI assistant.

5 best AI prompt generator types compared: from prompt builder to text prompts

Search for the best AI prompt generator and you’ll find top AI prompt generators lists that mix very different tools. They fall into five groups, each built for a variety of AI applications.

Most are a free AI starting point for a marketer or content creator who wants AI prompts for various tasks. Export teams need something narrower: AI prompts that streamline a workflow where a wrong tariff or date has a real cost, and that optimize productivity without adding risk.

1. PromptPerfect and other prompt optimizers

PromptPerfect is a prompt optimizer: you paste a prompt and it rewrites it for multiple AI models. It’s useful for prompt optimization when you already have a draft, but it doesn’t know your Incoterms, your markets or what your company has approved.

2. PromptBase and prompt marketplaces

PromptBase is a marketplace where people sell their prompts and buy others, with a large prompt database for ChatGPT prompts, Midjourney and other AI platforms. A curated prompt collection like that is good for inspiration; each prompt still has to be adapted to your product.

3. Midjourney and AI image generators

Many lists focus on AI image generation: Midjourney, Bing AI or other image generation tools. Those prompts describe style, light and composition, which is great for AI art projects and for a trade fair stand mock-up, but not for an export email. For visuals, use the image prompt generator instead.

4. ChatGPT prompt generator GPTs

A ChatGPT prompt generator built as a custom GPT asks you a few questions and then writes a prompt. It’s quick, but the questions are generic and the result depends on the conversation.

5. Industry tools like this AI text prompt generator

This one is an AI text prompt generator for one job: export work. It’s a tool for creating prompts tailored to international trade, with fields, presets and built-in controls, so you generate high-quality, optimized prompts for your AI tool from the first try. Use a general prompt builder for open-ended ideas and this one when the content must be accurate.

Why I built these generators

Paul Delaney

I’m Paul Delaney, and I lead search and AI visibility at Founderz. I’ve been designing AI prompts since the GPT-2 era and writing them every day since 2021, helping friends, colleagues and clients across many sectors, industries and roles get more out of their work with AI tools.

I built these generators to help people. AI is a wonderful tool: it doesn’t replace people, it helps them deliver more and better work. So this generator is designed to bring real value to everyone who uses it, whatever their prompting level. I built it with AI helping me write the code, which is the best proof of what AI lets you do.

Structured prompting, the technique behind this generator, is only one of many. Founderz’s Founderz AI training for businesses teaches it alongside many others, so graduates come out significantly upskilled and able to build tools like this for their own field.

Frequently asked questions

Is the AI prompt generator for exporters free?

Yes, it’s free. Before it asks for anything, it shows you a preview with the first sections of the prompt. To see the whole prompt and copy it, enter your email and accept the Privacy Policy; receiving communications from Founderz is optional.

It only asks once per visit: any prompts you generate after that are shown in full.

Can it translate product sheets and emails?

Yes. Choose your customer’s language under “Answer language” (English for the US or UK, Spanish, French, German, Italian, Portuguese, Arabic or Simplified Chinese). With the “Bilingual: English and Spanish” option you get both versions so someone in the market can check them.

What happens to the data I type in?

The generator doesn’t run an AI model: it combines your answers with instructions written by Founderz, in your browser. Only your email goes to Founderz when you ask to view the prompt, and usage statistics record the options you select, never your description or the prompt.

Can the assistant tell me which Incoterm to use?

Not with this generator. The “Incoterms explanation” task covers the purpose and the general split of responsibilities, but it doesn’t recommend a specific choice and reminds you that the contract needs review.

Which AI tool does it work with?

Any of them. The result is text you can paste into ChatGPT, Claude, Gemini, Microsoft Copilot or another AI tool your company allows. The structure does not depend on features specific to any one of them.
