Business process prompt generator

Tell us how the process works today and what you want to change, and get a professional prompt to map it, redesign it, write an SOP, measure it or assess its automation. Only step 1 is required: everything else stays on Auto.

How to use the business process prompt generator for your workflow

Only the first step is required: anything you skip stays on Auto and the AI infers it from your context.

  1. The essentials. In “Describe the process and what you want to achieve” say how it works today, which teams are involved, what goes wrong and what data you have, using roles rather than names. In “What do you need to prepare?” pick one of the 12 deliverables or leave it on Auto, and switch on “Have the AI ask me questions before it starts” if your context is short.
  2. The process. Pick the area (operations, procurement, finance, customer service, sales, HR, IT or cross-functional) and the current state, from “Not documented” to “Fails often”. Under “Advanced settings” you set the main goal, a method such as Lean, DMAIC or SIPOC and the automation level.
  3. Destination and format. Say who it is for, where you will use it (Visio, Lucidchart or Miro; Confluence, Notion or SharePoint; Excel; Power Automate, Make or Zapier; team training) and the format. Level of detail is under “Advanced settings”.
  4. Material and quality. Say what you will attach: the current procedure, a diagram, a data export, interview notes or an incident log. Under “Advanced settings” you add extra checks such as “Detail the exceptions” or “Rollback plan”, the response language and any limit the AI must respect.
  5. Generate and copy your prompt. Click “Generate prompt”, enter your email to see the whole prompt and copy it.

“What do you need to prepare?” offers 12 deliverables: current process map (as-is), target process design (to-be), SOP or procedure, AI automation case, RACI matrix and handoffs, process metrics, risks and controls, root cause analysis, continuous improvement backlog, redesign workshop, adoption and change plan, and document governance. Each one adds its own steps, columns and three follow-up requests.

Example: a ChatGPT prompt that documents a cash close SOP

With the generator’s “Practical SOP” example, the prompt starts like this. It’s an excerpt: the button copies the full prompt.

ROLE
Act as a senior process and operational excellence consultant with experience in Lean, Six Sigma, BPMN modeling and responsible automation. You describe processes as they really work, not as they should, you separate what was observed from what is assumed and you never fill gaps with invented steps, systems, times, owners or controls. You write standard operating procedures (SOPs) that can be followed without prior training: action verbs, one step per line and checkpoints.

GOAL
Write a clear and verifiable SOP that anyone in the role can follow, with checkpoints, exceptions and a version.

CONTEXT
Context provided by the user (treat it as your main source):
[START OF BRIEF]
I need the procedure for the daily cash register close in our 30 stores. Every store manager does it differently: some count twice, others do not record discrepancies. When the till is out by more than 20 pounds nobody knows who to tell. Store managers and cashiers will use the procedure.
[END OF BRIEF]

...

OUTPUT FORMAT
Deliver the SOP with the blocks Purpose, Scope, Roles, Prerequisites, Steps (table with columns No., Action, Role, Expected result, Checkpoint), Exceptions and escalation, Records, Version control.

...

The full prompt adds the context of an undocumented finance process written for the team that runs it, the constraints against invented steps and controls, the five SOP steps with checkpoints and escalation, the checklist format, a sample row and the final checks.

The result: the AI doesn’t invent the discrepancy threshold or who to tell: it marks them [to be confirmed] and delivers a procedure with one step per line that any store manager can follow.

Tips to streamline business operations with AI tools and any LLM

6 quick tips

  • Describe the process as it runs today, shortcuts and failures included. An honest as-is map is the basis to boost efficiency; an idealized one is useless.
  • Set “Current state” to not documented, informal steps or a procedure exists: the AI won’t assume a procedure you don’t have.
  • Before you automate anything, set “Automation level” to “Analysis only, no automation”. Once the process is clear, move to “Automate with human review”.
  • For an AI agent or workflow automation case, choose “Plan for a supervised AI agent”: the prompt asks for the goal, tools and minimum permissions, each input and output, approval points, exceptions and a stop criterion, which covers most compliance requirements up front.
  • Remove personal data and credentials from anything you attach, and switch on “Anonymize data” under “Extra checks” when needed.
  • Switch on “Measure before and after” under “Extra checks” so you can audit the proposal later with cycle time, errors or service level and show measurable results.

Use cases: audit, AI agent plans, content creation and AI integration

  • Document An SOP with a checklist, or a map with steps and handoffs for a process that lives in two people’s heads.
  • Redesign A target process (to-be) or a redesign workshop with the team when cycle time has blown up.
  • Automate with judgment A case that separates what a tool can do from what a person must approve.
  • Control A risks and controls analysis or a RACI matrix before an audit, with segregation of duties and audit logging flagged as requirements.
  • Improve A root cause analysis of a recurring problem, a prioritized continuous improvement backlog or a set of process metrics for a dashboard.
  • Content workflows With the area set to cross-functional, a map of the content creation workflow from brief to approval, with handoffs and owners.
  • Integrate AI An adoption and change plan so marketing teams, finance or operations can use new business tools, from SaaS apps to tools like Salesforce, without losing control of your existing business systems.

What makes the best AI business prompt for processes

A good process brief gives large language models what you’d give an operations consultant: a role, a specific task, the process context, the material it can use, the constraints and the output format. Processes need two more pieces: who owns the process and where the control points are. Without them, an LLM proposes a neat flow nobody can apply, which is the problem with any generic AI prompt.

When you use AI for operations, the result improves when the instructions separate observed fact, assumption and pending decision, and leaves approval with people. That’s how generative AI fits specific business needs instead of adding chaos, whether you use one assistant or integrate multiple AI models: advanced AI solutions powered by AI still need a process owner.

Why I built these generators

Paul Delaney

I’m Paul Delaney, and I lead search and AI visibility at Founderz. I’ve been designing AI prompts since the GPT-2 era and writing them every day since 2021, helping friends, colleagues and clients across many sectors, industries and roles get more out of their work with AI tools.

I built these generators to help people. AI is a wonderful tool: it doesn’t replace people, it helps them deliver more and better work. So this generator is designed to bring real value to everyone who uses it, whatever their prompting level. I built it with AI helping me write the code, which is the best proof of what AI lets you do.

Structured prompting, the technique behind this generator, is only one of many. Founderz’s AI and Innovation certificate program teaches it alongside many others, so graduates come out significantly upskilled and able to build tools like this for their own field.

Frequently asked questions

Is the business process prompt generator free?

Yes, it’s free. Before it asks for anything, it shows you a preview with the first sections of the prompt. To see the whole prompt and copy it, enter your email and accept the Privacy Policy; receiving communications from Founderz is optional.

It only asks once per visit: any prompts you generate after that are shown in full.

Which AI tools does it work with?

Any text assistant: ChatGPT, Claude, Gemini, Microsoft Copilot or the one your company has approved. The prompt is portable, so you don’t pick the assistant.

What you do pick is where the output goes: “Where will you use it?” adds a block ready for Visio, Lucidchart or Miro, a wiki, a spreadsheet, Power Automate, Make or Zapier, or team training.

Does it automate the process for me?

No. The generator writes instructions; it doesn’t connect to any API or run any action. The prompt’s constraints forbid proposing to automate decisions, payments, access or system changes without human approval, technical validation and a stop criterion.

Does it work for small businesses?

Yes. You can start from an undocumented process or one with informal steps and ask only for an as-is map or an SOP. Advanced settings such as the method or segregation of duties help larger organizations, but they’re optional.

What happens to the data I type?

The generator doesn’t use a language model: it combines your answers with Founderz templates in your browser. It only sends Founderz your email when you ask to see the prompt, and usage analytics record the options you picked, never your brief or the generated prompt.

AI and Innovation certificate program

If you want to apply AI to your company’s processes beyond a single prompt, the Founderz AI and Innovation certificate program teaches you to apply the main generative AI tools to real business cases. It’s 3-4 months, 100% online, and you finish with the Microsoft + Founderz certification.
