AI prompt generator for companies

Tell us the team task you want to solve with AI and get a professional prompt that builds a reusable team prompt, with fields, controls and review, for marketing, sales, HR, finance, operations, legal or IT. Only step 1 is required: everything else stays on Auto.

How to generate prompts with the AI prompt generator for companies

To build your prompt, follow these steps. Only the first one is required: anything you skip stays on Auto.

  1. Start with the essentials. Pick an example (sales, marketing, HR, finance, operations or template for everyone) or describe the repeated task, who does it and what a good result looks like. Then choose which team the prompt is for, or leave it on Auto so it is worked out from your text.
  2. Say who uses it and where. The experience level of the users (from AI beginners to function specialists) and the intended use: one-off, recurring, team template, inside a process or pilot before scaling. In the advanced settings you set who receives the output and the approved tool (ChatGPT, Claude, Gemini, Microsoft 365 Copilot, NotebookLM or an internal model).
  3. Decide structure and delivery. What the AI gives you (a prompt already filled in, a short and a long version, a pack of 3 to 5 prompts, a usage guide, an improved version of a prompt you already use or variants by recipient) and how to handle sources and evidence. In the advanced settings you set governance and the register of the output.
  4. Adjust material and quality. What matters most (accuracy, clarity, brand consistency, speed or compliance) and the material you will attach. The advanced settings add extra controls such as reference examples or a self-check rubric, the level of detail and the answer language.
  5. Generate and copy your prompt. Click “Generate prompt”, enter your email to see the whole prompt and copy it.

Ten teams. The “Which team is the prompt for?” selector offers sales, marketing and communications, HR and people, finance and control, operations and processes, customer service, legal and compliance, IT and systems, leadership and strategy, and any team.

The AI gives you back a card with name, owner and version, the prompt with its fields in square brackets, the fields table, three test cases and a human review checklist.

Example: a ChatGPT prompt for a sales team

With the generator’s “Sales” example, the prompt starts like this. It’s an excerpt: the button copies the full prompt.

ROLE
Act as a specialist in prompt engineering for companies and in AI adoption by teams. You design reusable prompts structured as role, task, context, constraints, output format and checks, with variable fields in square brackets, reference examples (few-shot) when they help, quality criteria and test cases, and you fit them to the company AI usage policies. You never fill gaps with invented policies, figures or internal data. You know sales work: qualification, funnel stages, value proposition per customer, objection handling and follow-up, and you know that commercial terms are set only by an authorised person.

GOAL
Design a reusable prompt so the sales team can prepare proposals, follow-up emails or conversations with confirmed customer information and without committing to prices, discounts or deadlines that are not approved.

CONTEXT
Context provided by the user (treat it as your main source):
[START OF BRIEF]
A prompt so the sales team can answer B2B quote requests with a follow-up email within 24 hours. There are eight of us in sales and each person writes the email their own way, with very different results.
[END OF BRIEF]

...

OUTPUT FORMAT
Deliver the full prompt in a code block, with the sections Role, Task, Context, Constraints, Output format and Checks, and at least the fields [ACCOUNT], [STAGE], [NEED], [OBJECTIONS], [APPROVED TERMS] and [NEXT STEP].

...

The full prompt adds the usage context (people with some practice, a team template and output that reaches customers), the usage guide for the team, constraints against unapproved terms and sensitive data, and a final check that every field has its example.

The result: all eight salespeople start from the same prompt, with the same fields and the same rules, so the email no longer depends on how each person writes.

Tips for effective prompts and better output in your team workflow

6 quick tips

  • Describe the repetitive task the way your team does it today and what a good result looks like. Specific prompts beat vague ones: the more concrete the case, the less the AI model has to guess.
  • Set “Who will use it” to the real profile (AI beginners, some practice, function specialists, team leads or several profiles): the AI adjusts the usage instructions and the language of the prompt.
  • For a shared team standard, set “Governance” to “With a prompt owner” or “Version log”. Keep approved versions in one prompt library so loose copies don’t spread.
  • Under “Approved tool”, pick the one your company actually licenses (ChatGPT Team or Enterprise, Claude Team or Enterprise, Gemini for Workspace, Microsoft 365 Copilot, NotebookLM or an internal model): the AI tells you where to save the prompt and which part goes into the fixed instructions.
  • Under “What the AI gives you” you can ask for a short and a long version, a pack of chained prompts or a usage guide; with “Prompt asks first” in the extra controls, the team prompt will ask for any missing data.
  • Test each version on a real case before you share it, and change one field at a time to optimize: that’s how you learn which setting improves the result.

Use cases: marketing prompts, sales and support, HR and more

  • Marketing Prompts tailored to content creators and campaigns, with brand tone and a clear call to action.
  • Sales and support Follow-up emails, meeting prep, objection handling and customer replies without promising terms nobody approved.
  • HR Job ads, onboarding plans or internal announcements without candidate personal data.
  • Finance and operations Summaries of aggregated data, procedures and proposals to streamline AI workflows.
  • Leadership Executive summaries tied to business goals and audience-specific versions of the same decision.
  • Small teams One reusable standard so three or four people work the same way across multiple AI models.

There are no perfect AI prompts: what makes good AI prompts for team productivity

A structured prompt gives the AI what you’d give a new colleague: a role, a specific task, the team context, the authorized material, the constraints (what it must not invent or share) and the output format. Crafting prompts from scratch every time gives different answers to the same task; customized prompts built on those six pieces save your team time.

Companies need a seventh piece: governance, meaning who is using AI with that prompt, with which data, and who reviews the result. AI models like ChatGPT respond better when the prompt does that structuring for them, and you don’t need to be a prompt engineer to get there.

Why I built these generators

Paul Delaney

I’m Paul Delaney, and I lead search and AI visibility at Founderz. I’ve been designing AI prompts since the GPT-2 era and writing them every day since 2021, helping friends, colleagues and clients across many sectors, industries and roles get more out of their work with AI tools.

I built these generators to help people. AI is a wonderful tool: it doesn’t replace people, it helps them deliver more and better work. So this generator is designed to bring real value to everyone who uses it, whatever their prompting level. I built it with AI helping me write the code, which is the best proof of what AI lets you do.

Structured prompting, the technique behind this generator, is only one of many. Founderz’s AI and Innovation certificate program teaches it alongside many others, so graduates come out significantly upskilled and able to build tools like this for their own field.

Frequently asked questions

Is this a free AI prompt generator?

Yes, it’s free. Before it asks for anything, it shows you a preview with the first sections of the prompt. To see the whole prompt and copy it, enter your email and accept the Privacy Policy; receiving communications from Founderz is optional.

It only asks once per visit: any prompts you generate after that are shown in full.

How does it compare with the best AI prompt generators?

Most general prompt generation tools expand one line into a longer text. This prompt builder asks for team context, authorized material and governance as well, so the high-quality prompt it gives you fits company work. It doesn’t choose the AI model for you.

Which AI tools can I choose?

Under “Approved tool”, in the advanced settings of step 2, you can choose ChatGPT Team or Enterprise, Claude Team or Enterprise, Gemini for Workspace, Microsoft 365 Copilot, NotebookLM or an approved internal model. With NotebookLM the prompt asks for a source on every statement; with an internal model, it must work pasted as plain text with no extra features.

Can I use it for AI agents?

That isn’t its purpose: it builds reusable prompts for team tasks. To design an agent, its instructions, limits and tests, the AI agent prompt generator is more specific.

What happens to the data I type?

The generator doesn’t use a language model: it combines your answers with Founderz templates in your browser. It only sends Founderz your email when you ask to see the prompt, and usage analytics record the options you picked, never your brief or the generated prompt.

Does the prompt replace human review?

No. The team prompt it designs states what a person checks before using or sending each output, and the AI also gives you a five-point human review checklist. Approving what goes out stays with your team.

AI and Innovation certificate program

If you want your team to use AI beyond a single prompt, the Founderz AI and Innovation certificate program teaches you to apply the main generative AI tools to real business cases. It’s 3-4 months, 100% online, and you finish with the Microsoft + Founderz certification.
